Payroll should not depend on informal messages scattered across different channels. The monthly process works best when the required changes are supplied by an agreed date and approved before payment.

Employee changes

Send approved details for new employees, terminations, role changes and salary changes. Sensitive identity or banking documents should be shared only through an approved secure process.

Deductions and allowances

Approved deductions, allowances, reimbursements and once-off payments should be listed clearly for the month.

Leave and unpaid time

Leave inputs affect pay and reporting. Submit them in the agreed format before payroll is prepared.

Final approval

The client should review payroll outputs before employees are paid. Ledger & Co should not be treated as the employer or the final employment-law decision-maker.
